The Basics of Content Types in SharePoint 2007 is a live, online, hands-on workshop showing how to utilize Content Types for creating a robust and maintainable structure in SharePoint.
Workshop Description
'Content Types' is a critical feature in SharePoint that allows the central management of metadata across an entire site collection. This beginner level workshop will cover the creation and implementation of Content Types to manage multiple libraries and lists from one, central location.
Each workshop participant will be given their own SharePoint site to experiment and follow along with the presenter. Resources and a recording of the session will be available at the end of the session.
Participants will walk away from this session with a good understanding of Content Types, why they are used and how they can be implemented within a site.
Problem Overview
As novice SharePoint site managers, many people create columns within lists and libraries that are only used full for that specific list. This means that web parts might not have access to those columns for filtering, duplication occurs if multiple lists need the same type of column, and maintenance becomes a nightmare if changes need to be made across an entire site collection.
There are cases where a site collection manager manually made changes to hundreds of libraries created with a template that was missing a specific column. Content Types to the rescue...
Solution
A solution to this problem is to use Content Types and Site Columns whenever a new metadata field is needed within a list or library.
Content Types can be created at the Site Collection or Site level. Creating columns as part of a Content Type and then applying that Content Types to multiple lists or libraries, allows the Site Manager to make a single change in the Content Type that will propogate down to all lists that are using that Content Type.
Conclusion
The Basics of Content Types is for you if you are:
- Maintaining multiple sites with similiar content
- Constantly recreating the same column for different libraries
- Responsible for updates to entire areas with a site collection or site
A basic understanding of Content Types is critical to any SharePoint Site Manager wanting to work less at maintaining their lists and libraries across multiple sites. This workshop will lay the foundation for using Content Types to help you do just that.
